Why not just divide guests by seats?

Because people come in parties. Four couples and a family of three do not fit at a table of ten: someone would sit away from their partner. A plan where every table is full also has no room for the late RSVP, the surprise plus-one or the high chair. One free seat per table is the margin planners use.

The calculator packs a typical guest list (mostly couples, some families of three to five, some singles). Your own list may pack tighter or looser: big families need more tables, many singles fewer.

Which table size?

Ask the venue or rental company what they have: two "tables for 10" from different suppliers are not always the same size.

How big a room?

Rental guides use about 10 to 12 sq ft (1 m²) per guest for round-table dinners, aisles included, plus a dance floor sized for about half the guests at once (4.5 sq ft, 0.42 m², each). For 100 guests: about 1,100 sq ft (100 m²) for tables and a 15 × 15 ft (4.6 × 4.6 m) dance floor. Leave at least 54 in (1.4 m) between tables so servers and wheelchairs get through.

The head table

Subtract the people at the head table first. A sweetheart table takes 2; a head table with the wedding party takes 8 to 16, often as one long table facing the room. Their partners who do not fit need seats close by, with people they know.
